Team and reporting

Control team mailing and deactivate a user

Review who can mail and how their pieces are handled.

WHERE TO GOCompany settings → Team

Before you start

Use a company administrator account.

Follow these steps

  1. Find the user’s row and review Role, Team and Cap/wk.

  2. Review Who prints the mail for the company and any rep-specific choice.

  3. Eligible quoted houses queue automatically for the selected printer. To exclude a house, choose Don’t mail on that house.

  4. To stop a person using the account, use the offered deactivate action. Review any pending pieces separately.

  5. Use permanent removal only when intended and after reading its confirmation; deactivation and removal are different actions.

What you should see

The user’s access and mail settings match your intended workflow.

Give each rep their own printed number

Keep one default company number in Branding → Business details → Phone, or enable Use sales rep phone numbers on PDFs and mailers there. Reps can save a direct or CallRail tracking number in My account → My printed phone number. An administrator can also set Printed phone number in that rep’s Mail setup.

With the setting on, each house’s PDFs and mailers use its assigned rep’s number. A blank rep number falls back to the company phone. Read the company, rep and CallRail setup guide.

Give each rep their own printed email address

In Branding → Business details, enable Use sales rep email addresses on PDFs and mailers. Reps save My printed email address in My account, or an administrator sets Printed email address in that rep’s Mail setup.

The house’s assigned rep supplies the printed address. Blank uses their account email, then the company email if unavailable. With the switch off, the company email prints. Already handed-off artwork stays as printed. Login email, alerts and email sender settings are separate. Read the printed email setup guide.

If something looks wrong

  • A user’s old properties remain? Keeping the company’s property history is expected.
  • Changing who prints does not recall mail already sent. Inspect the affected pieces.

Give each person a login
Open Company settings, then Team. Enter the teammate name and email, select their role and team, and send an invite to choose their own password.

Review mail controls
Review the company printer choice and each user’s mail settings. A rep-specific setting can differ from the company default. Changing it does not recall a piece already sent.

Compare the same period
Leaderboard shows activity and recorded outcomes for a selected period. Compare pins, mailed pieces, scans, sold jobs and revenue separately.

Check the source record
Statistics provides the views available to your role. If a number seems wrong, check the date range and the property’s recorded events before changing anything.
